The Finance and Administration Manager is a hands-on position, responsible for overseeing the organization’s financial management, budgets, reporting, and forecasting. They will serve as the organization’s administrative backbone, including basic project management. They will ideally have strong interpersonal skills and the ability to effectively communicate with internal and external partners who do not have a financial background. They will be exceptionally accurate, organized, and accountable.
KEY DUTIES AND RESPONSIBILITIES
Financial Management
Track grant budgets including match requirements, as needed
Monitor expenses for eligibility based on funding requirements
Maintain grant agreements and contracts
Communicate with leadership team regarding issues, challenges, and recommendations to improve the organization’s financial position
Code expenses and enter payables into bill.com for Director approval
Reconcile monthly expenses, produce reports, and maintain financial records for audit
Lead the annual audit process, liaise with external auditors
Develop annual budget materials (as instructed by the Executive Director) and monthly projections
Track employee documentation and submit payroll information
Administrative Support
Develop and update organizational policies and procedures
Provide meeting staff support by scheduling, sending reminders, distributing agendas, keeping minutes, and following up
Maintain digital filing systems/records management
Assist staff with planning and logistics of annual events
Lead the organization through a transition from Google Drive to Microsoft 365
Manage membership drive and maintain member CRM database
QUALIFICATIONS
Experience
At least four years’ experience in budgeting, payables, receivables, and financial management, preferably non-profit
Experience in class/grant accounting, reporting, and reconciliation
Preferred Knowledge and Skills
Maintain flexibility as a member of a team in an ever-developing professional field
Balance independent work with a highly collaborative team environment
Display individual initiative and solid time management skills
Excellent organizational skills and the ability to manage multiple projects and deadlines simultaneously
Shows professionalism – is punctual, tactful, respectful, accountable, and reliable
Ability to communicate effectively and explain complicated information clearly
Proven ability to use technology and virtual tools to solve problems
Strong computer skills including MS Office, QuickBooks, and project management software
Candidate must reside in Alaska full time
TRAVEL
Occasional in-state travel may be required for this position.
