Overview

We are seeking a highly organized and dependable Project Coordinator to support the scheduling and successful completion of construction, remodeling, commercial, and service projects. This position coordinates communication between customers, contractors, technicians, vendors, and office staff while keeping project schedules, materials, documentation, and billing on track.

The ideal candidate is proactive, detail-oriented, an effective communicator, and comfortable managing multiple priorities in a fast-paced environment. This Full Time Position is Monday - Friday, no weekends or overtime required!

Duties

Coordinate daily and upcoming project schedules, staffing, milestones, inspections, and appointments.

Maintain a rolling schedule and identify potential delays, conflicts, or job-site readiness issues.

Communicate with customers, contractors, technicians, vendors, and management by phone and email.

Review voicemails, emails, job notes, and project updates; document communications and follow-up actions.

Coordinate with field staff regarding daily assignments, project scope, materials, site conditions, schedule changes, and completion status.

Confirm parts and materials are available, ordered, and delivered to the shop or job site as needed.

Maintain accurate project records in ServiceTitan or similar software, including schedules, notes, photos, documents, and customer information.

Assist with inspection scheduling, documentation, project updates, and follow-up work.

Review completed work, project milestones, labor, materials, and change orders to support accurate invoicing.

Respond to estimate and proposal requests, gather project information, schedule estimates, and follow up with potential customers.

Provide timely project updates to contractors and customers.

Support general office administration, including document preparation, payment processing, supply tracking, and management reports.

Maintain clear end-of-day notes regarding completed work, next steps, material needs, schedule changes, billing status, and outstanding concerns.

Requirements

Previous experience in project coordination, construction administration, scheduling, dispatching, or customer service preferred.

Experience with construction, plumbing, HVAC, electrical, remodeling, or a related trade industry is helpful.

Strong organizational skills, attention to detail, and follow-through.

Excellent written and verbal communication skills and professional phone etiquette.

Ability to manage multiple projects and changing priorities.

Proficiency with Microsoft Office, email, data entry, and general office technology.

Experience with ServiceTitan or similar field-service software is preferred, but training will be provided.

Ability to read and understand basic project scopes, plans, specifications, and job documentation.

Ability to work independently while collaborating effectively with office and field teams.
