Class Summary:
Accountable to the Federal Programs Executive Director, the Grants Budget Supervisor assists with developing, tracking, analyzing, amending, and reporting of grant budgets for Federal Programs.
Required Qualifications:
Bachelor's Degree in Business or Accounting preferred.
Minimum of four years of administrative, secretarial, managerial or grants accounting experience.
Thorough knowledge and experience in K-12 public schools preferred.
Previous education, training, work, or life experience which provides reasonable evidence of the successful performance of the various tasks listed.
Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
Essential Functions of the Position:
Assists grant writing teams to develop grant applications and write initial budgets.
Supervises and evaluates classified federal program central office support staff.
Train grant funded staff on required time distribution documentation procedures and create and collect correct forms.
Compile documentation and answer fiscal and programmatic interview questions during annual audit.
Develops, implements, and trains staff on a system to track grant expenditures.
Compile and submit budget/application revisions as needed to granting agencies using appropriate format or electronic system. Follow up with agency officials for timely approvals.
Review grant expenditure requests for fiscal compliance with federal, state and program specific guidance, approve and assign appropriate account codes accordingly.
Compile grant application request information from schools and/or staff requesting permission to apply for funding of $5,000 or more. Draft school board memos for grant funding proposals.
Set up initial grant budget projections in district adoptive system and process budget transfers for revision approvals. Set up journal entries for workflow approval of financial adjustments as needed.
Pull financial and staffing reports as requested to assist leadership in decision making and grant reporting requirements.
Oversee office workload and assign support team tasks and projects based on priorities and deadlines. Follow up on work assignments.
Work with business services to build checks within systems to assure that grant fiscal compliance requirements are met.
Calculate cost of grant funded staffing for Title I schools and other grant programs.
Build positions for grant funded supplemental staffing.
Other duties as assigned.
Skills:
Excellent interpersonal skills, oral and written communication skills.
Computer operations to included advanced skills in word processing, spreadsheets and the district's accounting system.
Thorough knowledge of federal program grant regulations.
Thorough knowledge of federal grant budgeting processes.
Thorough knowledge of office skills to include computer operations, word processing, spreadsheet, database, and basic office management/accounting skills.
Excellent knowledge with Microsoft and Google apps.
