POSITION SUMMARY
The purpose of this position is to provide technical
assistance as a team member in the function and requirements of the Human
Resource Division for Maniilaq Association.
The duties are directly related to all technical aspects of data
development and data entry.
Provides
technical assistance to all Human Resource personnel. Provides guidance to internal
and external customers.
Reports directly
to the Human Resources Director.
PRINCIPAL DUTIES AND RESPONSIBILITIES
1.
Completes pre-employment reference
checks in a timely manner.
2.
Creates new employee personnel and
payroll folders.
3.
Performs and maintains the filing
of all documentation, including archiving and storing documents.
4.
Ensures the file room and reception
desk are clean and organized.
5.
Greets customers in a respectful
manner.
6.
Answers the main HR phone line and
directs calls, as appropriate.
7.
Assists
applicants and new employees in completing forms and provides information on
vacancies.
8.
Assists
customers with the online application process.
9.
Enters
new vacancies into the online application system and creates job vacancy
folders for the Specialists/Generalists.
10.
Completes
unemployment/salary verifications.
11.
Conduct
drug tests, alcohol tests and takes fingerprints
12.
Makes
travel arrangements for Human Resource personnel and prospective employees.
13.
Completes
badging process for employees and contractors.
14.
Completes
Travel Requisitions, Check Requisitions and Purchase Requisitions, as necessary.
15.
Maintains
and orders an adequate supply of forms, supplies and materials.
16.
Properly
disposes of confidential information.
17.
Assists
with projects such as the Longevity Awards, New Hire Orientation, etc.
18.
Prepares
packets for New Hire Orientation.
Human Resources Assistant II (additional duties):
1.
Participate in conducting New Hire Orientation on
rotational schedule.
2.
Participates in carrying the HR on-call phone rotation
schedule.
3.
Assists with HR internal audits needed for compliance
with state/federal regulations.
4.
Assists with UKG/Kronos time-clock maintenance.
5.
Acts as lead HR Assistant with front desk operations.
Job Qualifications:
MINIMUM REQUIREMENTS
Human Resources Assistant I:
High school diploma or equivalent.
6 months related HR clerical experience
preferred.
Must be able to type well
enough to efficiently carry out duties.
Prior experience u
sing
computers at the beginning level for word processing.
Ability to travel in small planes.
Human Resources Assistant II:
Qualifications of the Assistant I; plus 2 years of work
experience as a Human Resources Assistant I with 1-year experience assisting
with HR Generalist/Specialist work with the ability to advise on common policy
questions. Experience using computers at
the intermediate level for spreadsheets and word processing.
