The Executive Director is responsible for the overall leadership, administration, and operational effectiveness of the club. This role oversees daily operations, strategic direction, financial sustainability, and legal compliance, while managing all non-technical staff and serving as the organization’s primary liaison to the community, partners, and stakeholders.
Roles and Responsibilities
Leadership & Strategic Direction
Provide overall leadership and long-term strategic direction for the club.
Establish and meet short- and long-term organizational objectives in collaboration with the Director of Coaching (DOC), Technical Director, and Recreational Program Coordinator.
Lead strategic planning, organizational development, and growth initiatives.
Serve as the primary liaison to the Board of Directors, providing reports on operations, budgeting, staffing, and program outcomes.
Partner with the DOC on technical/administrative crossover planning, program alignment, and budgeting.
Foster a positive and inclusive club culture through proactive engagement with membership and community.
Maintain strong relationships with partner organizations, community leaders, educational institutions, sponsors, and youth sports organizations.
Operational Management & Administration
Oversee daily operations, staffing, and administrative workflows across all programs.
Develop, implement, and maintain employment, administrative, and operational policies and procedures.
Ensure compliance with all municipal regulations, safety standards, and legal requirements.
Review organizational staffing needs, job descriptions, and performance evaluation processes.
Ensure contracts are in place for all contract staff and manage negotiation of vendor agreements (insurance, gear, merchandise, uniforms, facilities, software, etc.).
Manage purchasing, receiving, inventory, and control of all equipment and supplies.
Oversee field scheduling, facility partnerships, and major logistical operations.
Establish guidelines for staff operations, human resources, IT systems, facilities management, and volunteer coordination.
Program Oversight & Member Support
Ensure a strong focus on customer satisfaction and timely issue resolution.
Serve as a primary point of contact for general inquiries, directing questions to appropriate staff when necessary.
Collaborate with club leadership to develop community partnerships and strengthen program offerings.
Financial Oversight & Development
Manage the club’s annual budget, financial forecasting, and long-term fiscal sustainability.
Ensure responsible financial practices, reporting accuracy, and alignment of expenditures with organizational goals.
Working Conditions
Full-time, 12-month position.
Requires flexibility in scheduling, including evenings and weekends.
Participation in meetings and events outside standard business hours is expected.
