THE JUNEAU-DOUGLAS CITY MUSEUM IS LOOKING FOR AN ADMINISTRATIVE ASSISTANT TO JOIN OUR TEAM.

Under general supervision, preforms clerical and administrative support duties for the Juneau-Douglas City Museum. Responsibilities include daily opening and closing of Museum facility with attention to the visitor reception desk and museum store needs. The Museum Administrative Assistant works both at the Museum reception desk with, and in the absence of, volunteers and in the staff office. The Museum Administrative Assistant is responsible for operating and training staff and volunteers on Counterpoint, the point of sale system and assists in set-up and take down at events and public programs as needed. This position works unsupervised on weekends and has a seasonal daily work schedule.

WORKING HOURS AND LOCATION

Depending on season, this position works at the City Museum four or five days a week when the museum is open to the public. This may include evenings and weekends. You will work both at the museum front reception desk and at the staff desk in the office.

Typical Responsibilities

Typical responsibilities include the following:

Oversee day to day opening and closing of museum facility; work at the front desk as visitor reception with and in the absence of volunteers.

Greet, coach, correct and work with a diverse group of museum volunteers at front desk reception and sales.

Handle cash, check, and credit card transactions on a daily basis and prepare accurate revenue transmittals.

Manage and troubleshoot the Museum’s point of sale software used for museum store inventory and sales. Train staff and volunteers on how to use the point of sale software.

Work with point of sale reports to manage museum store inventory, ordering, and restocking. Suggest new items for museum store, track and analyze sales.

Prepare and track purchase orders, invoices, credit card purchases, and transmittals within CBJ & Museum guidelines. Track Museum expenditures in excel. Run finance reports to verify expenditures and revenue.

Sort, create, and track Museum hard copy and email mailing lists. Format and print mailing labels for newsletters and special mailings; prepare special and bulk mailings.

Work effectively with diverse personalities and effort levels.

Answer phones and forward calls in a friendly and timely manner.

Order and stock office supplies.

Run errands and check mail at city offices.

Minimum Qualifications

Education:

High School graduation or the equivalent.

Experience:

Six (6) months of clerical experience. This work is equivalent to an Office Assistant with the City & Borough of Juneau or equivalent elsewhere.

SUBSTITUTION:

Post-secondary or vocational training may be substituted for the required

experience on the basis of: three (3) semester or four (4) quarter hours of post-

secondary education are equal to one month of experience; 150 hours of

vocational education are equal to one month of experience.)

Other:

A valid Driver's License

at time of appointment and for continued employment.
