Job Information

Open to the any current Municipal employee within the Human Resources Department.

This is a non-represented position (no union affiliation) and is subject to the provisions of the Personnel Rules of the Municipality of Anchorage.

Employees who are hired or rehired to any position shall be placed at the entrance pay step, and advancement from the entrance step to the maximum step within a pay grade shall be by successive steps.

Example of Duties

Under the general supervision of the Records Supervisor, this position is responsible for facilitating and coordinating data entry and records activities, including processing hiring packets and personnel action forms, generating reports, and conducting monthly audits of the personnel file room in accordance with current collective bargaining agreements, Municipal Personnel Rules, and established policies and procedures. The position audits employee personnel records for completeness and accuracy, ensures required documentation is present, conducts various types of research as requested or necessary, and ensures timely processing of requests and accurate information in response to the public, other departments and employees. This position directs the work of Records Specialists in a lead capacity by training and guiding staff on current processes and procedures, assisting in the development of training materials for Municipal employees as new processes are implemented, and coordinating records-related activities across the Records Office. It assists in identifying issues in records workflows and documentation practices and supports the development and implementation of improved procedures. The position also assists all areas of Records as needed and assigned.

Minimum Qualifications / Substitutions / Preferences

High school diploma, GED, or equivalent

and

five (

) years of experience in human resources or payroll, administration support or similar administrative responsibilities.

OR

Associate’s degree in Human Resources, Business Administration, or similar discipline

and

three (

3

) years of experience in human resources or payroll, administration support or similar administrative responsibilities.

OR

Bachelor’s degree in Human Resources, Business Administration, or similar discipline

and

one (

1

) year of experience in human resources or payroll, administration support or similar administrative responsibilities.

Military Service Interview Preference

Veterans who wish to be considered for interview preference, as permitted in Municipal Personnel Rules 3.30.031 D, must attach to the application a copy of their DD Form 214, DD Form 256, NGB Form 22, or a letter from the US Department of Veterans Affairs, recognizing the person as a veteran. The attached documentation must show an honorable discharge or general (under honorable conditions) discharge. The minimum qualifications of the position must be met for preference consideration.

Individuals currently serving as a member in good standing in the National Guard or the organized military reserves who wish to be considered for interview preference, as permitted in Municipal Personnel Rules 3.30.031 D, must attach proof of current service to the application. Proof of current service can be shown by submission of a statement of service which, at a minimum, shows the full name, date of birth, Social Security

Number, date service began, branch of service, rank, name of command providing the information, and unit of assignment. The statement of service must be on a form or letterhead of the individual’s command organization, and shows the name, signature, title, and contact information of the signer providing the statement of service. The minimum qualifications of the position must be met for preference consideration.
