Position Overview

The

Operations and Finance Manager

is the backbone of AAHA: ensuring our people are supported, day-to-day finance runs smoothly, systems are optimized, and projects keep moving. This is a hands-on, high-trust role for someone who enjoys solving problems, building better processes, and making good things happen. You will work closely with the Executive Director and a collaborative team to support one of Alaska’s most urgent priorities: affordable housing.

In this role, you will serve as the primary liaison to our external contract accountant, auditor, and funding agencies; track grant timelines, submit reports, prepare budgets; support the Executive Director in preparing for Finance Committee and Board of Directors meetings; and handle core operating logistics (HR, tech subscriptions, insurance, portal access, vendor relationships, etc.).

A priority for this position will be helping AAHA implement and capitalize on a new federally negotiated indirect cost rate while strengthening the financial systems, internal controls, and operational practices that support long-term organizational sustainability. The successful candidate will inherit an organization that has invested in improving its infrastructure—and will have the opportunity to take those systems to the next level.

We welcome candidates who bring sound judgment, strong operational skills, and a continuous-improvement mindset. This position is designed to grow into Director of Operations and Finance within two years, subject to performance and organizational needs.

Documents: Maintain central electronic files for organizational policies, insurance, office leases, grant agreements and vendor contracts. Ensure reasonable security, accuracy and accessibility of all records.

Board Meetings/Events: Oversee logistics for meetings, board sessions, trainings, and events, including facility rental, catering and materials.Travel Support: Prepare travel authorizations and arrangements; attend meetings, conferences, and professional development trainings as needed.

Reporting Pipeline: Monitor grant calendars to ensure all financial narratives and reports are submitted on time. Assemble expense documentation for grant drawdowns.

Financial Controls and Data Integrity: Maintain accurate financial and donor records; monitor budgets, cash flow, internal controls, and financial reporting in coordination with the external accounting team.

Indirect Cost Rate Management: Lead implementation and administration of AAHA's anticipated federally negotiated indirect cost rate agreement (NICRA), to ensure accurate cost allocation, consistent application across funding sources, appropriate documentation, and compliance with federal requirements.

Proactive Compliance: Coordinate organizational readiness for periodic HUD compliance reviews, and ensure that any recommended improvements are sustained, documented, and integrated into routine operations.

Financial Administration and Vendor Liaison (30%)

Bookkeeping Coordination: Gather, code, and upload all invoices, receipts, and expense reports to our external contract accounting team. Review weekly drafts for accuracy.

Accounts Payable/Receivable: Manage timely vendor payments, process incoming checks and digital donations, and handle regular bank deposits.

Governance Support: Assemble regular financial packets, dashboards, and meeting minutes for the Finance Committee and Board of Directors.
