Job Description

The Probate/Children's Division of the Alaska Court System is looking for a detailed individual to become a Court Case Manager 2 (salary range 12).

* Employees transferring from another State of Alaska agency may receive consideration for advance step placement.

* Personnel rules will be applied to determine step placement for the successful internal candidate.

The Position

Provides comprehensive case processing and administrative support for the Probate and Children’s Division of the court. Primarily front counter customer facing and will help customers on a day to day basis with filing documents, proper procedures and guidelines, and answering questions. Processes cases from initial filing through final disposition and closure, including CINA, delinquency, adoption, estate, trust, minor settlement, guardianship, conservatorship, financial abuse, mental commitment, and drug and alcohol matters. Reviews and processes legal documents for compliance with statutes, court rules, and filing requirements; opens and closes cases; assigns judicial officers and court-appointed personnel; manages docketing and calendaring; processes fees, orders, judgments, warrants, and other court documents; maintains accurate physical and electronic case files; and performs required data entry and case management activities in CourtView and related court systems.

Coordinates case activities with judges, magistrates, attorneys, agencies, court personnel, and other stakeholders to ensure timely and accurate processing of court matters. Prepares and maintains calendars, coordinates judicial and courtroom coverage, monitors deadlines and required actions, prepares files for hearings and appellate review, and processes documents and orders following judicial action. Provides procedural information and customer service to attorneys, litigants, court employees, agencies, and the general public while determining appropriate responses to inquiries and requests for court records.

Performs a variety of clerical, administrative, and courtroom support functions, including filing and scanning documents, preparing correspondence, notices, orders, reports, and certified copies, maintaining case records, and assisting with hearings as a backup judicial assistant or in-court clerk. Provides backup support across other case-processing areas and performs related duties as assigned to support the effective administration and operation of the court.

The Environment

Located in the Nesbett Courthouse, the Probate/Children's Division is made up of ten Court Case Managers 2, and three Courtroom Judicial Assistants under the supervision of the Court Supervisor 4.

The Work Schedule

Full-time court employees are currently scheduled to work 37.5 hours per week. The work hours for this position are Monday – Friday, 8:00 a.m. to 4:30 p.m. with a one-hour lunch break.

Minimum Qualifications

Graduation from high school or completion of a General Education Development (GED) certificate AND one year of advanced clerical work experience equivalent to a Court Case Manager 1 with the Alaska Court System or an equivalent position with another employer.

OR

Graduation from high school or completion of a General Education Development (GED) certificate AND completion of a two-year paralegal curriculum from an accredited institution.

OR

A bachelor's degree from an accredited college.

Education completed in foreign colleges or universities may be used to meet the minimum qualifications listed above. If utilizing this education, you must show that the education credentials have been submitted to a private organization that specializes in the interpretation of foreign educational credentials and that such education has been deemed to be at least equivalent to that gained in conventional U.S. education programs; or an accredited U.S. post-secondary institution reports the other institution as one whose transcript is given full value, or full value is given in subject areas applicable to the curricula at the post-secondary institution. It is your responsibility to provide such evidence when applying.
