Job Description

The Alaska Permanent Fund Corporation (APFC) is seeking an organized, detail-oriented Administrative Specialist to support the Corporation’s day-to-day administrative operations. This position provides support in travel, purchasing, financial administration, records management, reception, asset tracking, project documentation, and general office operations. The ideal candidate brings strong organizational and analytical skills, sound judgment, attention to detail, and a commitment to providing responsive, professional service.

Principal Responsibilities

Accounting & Financial Support

Provide accounting and financial support for APFC’s daily operations, including invoices, reimbursements, credit card transactions, purchase requests, account coding, and supporting documentation. This work requires accuracy, attention to detail, and practical knowledge of accounting systems, procedures, and financial records.

Travel Coordination

Coordinate business travel for assigned staff from start to finish. This role is responsible for more than making reservations; it includes understanding travel needs, applying State of Alaska travel requirements and APFC procedures, preparing required approvals, arranging airfare, lodging, and transportation, estimating travel costs, collecting documentation, preparing expense reports, resolving routine travel questions, and completing post-travel follow-up so each trip is properly documented, reconciled, and ready for payment or reimbursement.

General Administrative Support

Provide broad administrative support for APFC’s daily operations, including reception, mail distribution, incoming calls, routine inquiries, meeting and conference room scheduling, common space coordination, project documentation, purchasing support, records retention, asset tracking, maintaining shared office spaces, and other assigned administrative duties.

Attention to detail and accuracy when working with financial information, travel documentation, records, and administrative tasks.

Sound judgment, discretion, and reliability when handling routine matters, sensitive information, or more complex requests.

Ability to learn and effectively use administrative, financial, travel, and business systems.

Required Qualifications

High school diploma or equivalent.

Two years of accounting, bookkeeping, administrative, or related experience that includes accounting or financial support duties similar to those described in the Principal Responsibilities section. Relevant education and experience may be combined to meet this requirement.

Experience using Microsoft Office applications, including Outlook, Word, and Excel.

Experience performing routine administrative functions, including organizing information, maintaining records, and supporting day-to-day office operations.

Preferred Qualifications

Accounting & Financial Support

Experience performing accounting, bookkeeping, or financial support duties such as processing invoices, reimbursements, credit card transactions, purchase requests, account coding, or supporting documentation.

Experience reviewing financial records for accuracy and completeness, identifying discrepancies, and following established procedures to resolve routine issues.

Experience using Excel or other business systems to organize, track, calculate, reconcile, or review financial information.

Travel Coordination

Experience coordinating business travel or similar multi-step administrative processes that require scheduling, approvals, documentation, expense tracking, and follow-up.

Experience applying established policies, procedures, or guidelines to complete administrative or financial transactions accurately.

Compensation

& Benefits Information

The base pay range for this position is $33.00 - $36.00 hourly, commensurate with experience and qualifications. This role is also eligible for Incentive Compensation in accordance with APFC’s Incentive Compensation Plan, with a maximum annual bonus of 5% of base salary, tied to total fund performance.
